Boston Dogtor LLC · Client Portal

Effective date: June 4, 2026  |  Last updated: June 4, 2026

1. Introduction

This Privacy Policy explains how Boston Dogtor LLC ("Boston Dogtor," "we," "us," or "our"), located at 89 Turnpike Road, Southborough, MA 01772, collects, uses, and protects personal information through our client portal and related web or mobile application (the "Portal"). It applies to clients and prospective clients who use the Portal. Your use of the Portal is also subject to our Terms of Service. In the event of any conflict between this Privacy Policy and the Boston Dogtor LLC Waiver and Release of Liability, the Waiver and Release of Liability governs and supersedes.

2. Information we collect

We collect the following information, most of which you provide directly:

CategoryExamples
Account informationYour name, email address, phone number, mailing address, and a password (which we store only in encrypted/hashed form — we never store your password in readable text).
Pet informationYour dog's name, breed, age, weight, health and vaccination records you upload, behavioral and care notes, and training progress.
Booking & transaction informationAppointment requests and history (boarding, daycare, training), deposits and payment status, and related service records.
CommunicationsMessages you exchange with our staff through the Portal (stored in encrypted form), and emails you send us.
Photos & documentsImages and files you upload, such as pet photos and vaccination documents.
Technical informationBasic device and log information and a secure session identifier stored in your browser to keep you signed in. The Portal may be installed as an app (PWA) on your device.

We do not store full payment card numbers ourselves; card payments, where offered, are handled by a third-party payment processor.

3. How we use information

We use personal information to: create and manage your account; schedule, confirm, and provide the Services; care for your dog and respond to health or safety needs; process deposits and payments; communicate with you about your bookings and account; maintain the security and proper operation of the Portal; keep records; and comply with our legal obligations.

4. How we share information

We share personal information only as needed to run our business:

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

5. Cookies and tracking

The Portal uses a secure session identifier stored in your browser so you can stay logged in; this is necessary for the Portal to work. We do not use third-party advertising or cross-site tracking cookies. Because we do not sell or share personal information for advertising, there is nothing to opt out of in that respect; if your browser sends a Global Privacy Control (GPC) or similar signal, we honor it consistent with this practice.

6. How we protect information

We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit (HTTPS), encryption of portal messages at rest, hashed storage of passwords, restricted staff access, and protected storage of sensitive files. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to address issues promptly.

7. How long we keep information

We keep personal information for as long as your account is active and as needed to provide the Services, then for a reasonable period afterward to meet legal, tax, accounting, and recordkeeping obligations and to resolve disputes. In general, we retain client and pet records for up to seven (7) years after your last booking, after which we delete or de-identify them unless a longer period is required by law.

8. Your choices and rights

You may review and update your account and pet information through the Portal at any time. You may opt out of marketing emails (if any) using the unsubscribe link; we will still send transactional and service messages needed to provide the Services.

Depending on where you live, you may have additional rights — such as the right to access, correct, or delete your personal information, or to receive a copy of it. Because we do not sell or share personal information for advertising, opt-out-of-sale rights generally do not apply, but you may still exercise your other rights. To make a request, contact us at the email below; we will respond as required by applicable law and may need to verify your identity first. We will not discriminate against you for exercising these rights.

9. Children's privacy

The Portal is intended for adults 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.

10. Third-party links and services

The Portal may link to or rely on third-party services (such as a payment processor). Their use of your information is governed by their own privacy policies, not this one.

11. Changes to this Policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify you through the Portal or by email.
